Brigada is looking for a part-time management assistant & office manager for our Antwerp office: an organised, sharp and proactive right hand for our CEO and management team. You keep the agenda on track, follow up on what was agreed and make sure nothing slips through the cracks. On top of that, you’re the local point of contact who keeps our Antwerp office running smoothly.

Support our CEO and management teammanage the CEO’s agenda: 


  • plan meetings, set priorities and keep the calendar in check.

  • attend management team meetings, prepare the agenda, take notes and keep track of decisions and to-dos.

  • follow up on action points with the management team, so agreements are kept and deadlines are met.

  • prepare meetings: book rooms, send invitations and gather the right documents.

  • handle correspondence for the CEO and act as the first point of contact for internal and external requests.

  • take care of administrative follow-up, such as collecting receipts, expense claims and invoices.

  • help organise management meetings, offsites and internal events.


Take care of the Antwerp office


Office management at Brigada is coordinated centrally by our office manager in Ghent. You work closely with her and are the local point of contact in Antwerp. This means you will ...


  • make sure the office is clean, tidy, well-stocked and welcoming, and follow up with our cleaning company and other suppliers.

  • order office supplies, snacks, drinks, lunches and catering for meetings and events.

  • welcome clients and visitors and be their first point of contact.

  • arrange the validation of parking tickets for visitors and colleagues, and manage access badges and keys.

  • be the go-to person for colleagues when something needs to be arranged, from train tickets to a broken coffee machine.

  • report and follow up on maintenance issues and small repairs with the building manager and facility partners.

  • handle incoming and outgoing post and parcels.

  • help onboard new colleagues, making sure their desk, badge and welcome are ready on day one.

  • organise office moments like after-work drinks and seasonal celebrations.

  • keep an eye on office-related costs, stock and supplier agreements.
    make sure the first-aid kit and other safety basics are in order.


What we are looking for


We’re looking for an experienced management assistant who feels at home at management level. Someone who keeps the overview, thinks a step ahead and follows up without needing to be asked, and who also enjoys making other people’s lives easier.


  • You have experience as a management assistant, executive assistant or in a similar role, ideally supporting a CEO or management team.

  • You’re comfortable working at management level: you understand priorities, think ahead and follow up independently.

  • You’re structured and precise, and you can juggle many things at once without losing the overview.

  • You’re proactive and hands-on: you spot what needs to be done and you just do it.

  • You’re discreet and handle confidential information with care.

  • You’re friendly, helpful and calm, even when things get hectic.

  • You have an eye for detail and a strong sense of hospitality.

  • You communicate fluently in Dutch and English. French is a plus.

  • You’re comfortable with Microsoft 365 (Outlook, Teams, Word, Excel) and quick to learn new tools.

  • You’re available to work at our Antwerp office part-time, ideally on Monday, Tuesday and Thursday, or five half days a week.
